2. What We Collect
We collect only what is necessary for certification processing:
- Student name, email, grade, school (for certification)
- Volunteer service details (organization, dates, hours, role description)
- Supervisor name, title, email, and phone (for verification)
- Supporting documents you upload (letters, signed forms)
- Account credentials (email and password, stored securely via Supabase Auth)
3. How We Use Your Information
- Process and verify volunteer hour certifications
- Communicate with students and supervisors about submission status
- Display recognized students on our website (name and photo only, with prior consent for levels requiring it)
- Comply with applicable laws and regulations
We do not sell, rent, or share your personal information with third parties for marketing purposes.
4. Youth Privacy (COPPA)
We are aware that some participants may be under 13. We collect only the minimum information required to process certifications. We do not knowingly collect unnecessary personal information from children under 13. Parents or guardians with questions about their child's data may contact us at info@nyvsa.org to request access, correction, or deletion.
5. Data Storage & Security
All data is stored securely using Supabase (PostgreSQL). Uploaded documents are stored in private storage buckets and accessible only via signed, time-limited URLs. We use industry-standard encryption for data in transit (HTTPS) and at rest.
6. Data Retention
Certification records are retained for a minimum of 7 years to support award verification. You may request deletion of your account and personal data at any time by contacting us. Note that certified award records may be retained as part of the non-profit's official records.
